I thought that it would be a good idea to get a list together of people who will be marshalling the meet for Connor with mugshots and jobs they will do so people know who to look out for because i cant be the only person who will be attending that basically knows nobody

1. Samuelellis (yes i know i look like Neil from the young ones with a bad beard and tash - both of them now gone)

Jobs - Wandering photographer, photographing cars as they come in, helping the first wave of people park and probably other jobs to be decided on at a later date
2. busta moves , I will make myself aware if your there early for marshalling, I'm too special for you to miss me lol. I will act like I'm ordering everyone but please don't take it personal as I'm just trying to keep Connors day smooth s poss.

3- GC8 - Simon. Im not a particularly photogenic fellow and this is the only picture of me that I have access to...

25 because i only have 25 high vis jackets (obviously this number could go up if needed depending on people bringing there own high vis)

Also as an FYI

Marshall's will be reminding everyone who is attending NOT to let slip to Connor how bad the situation is so be prepared to stop your car and expect a marshall to stick his or her head though your window to remind you on the way in

Just to be aware Zippy is in a white classic Impreza with BBS wheels so ask every white Impreza with BBS wheels if they are zippy - if the are obviously dont say anything just wave them through

I have a set of Cobra 8 channel walkie talkies I can bring

My points for consideration as a marshal would be:

How many vehicles are confirmed?
What is the cutoff point for attendees so we know exactly how many vehicles?
How much space is available to park them?
How many entrances/exits?
Where are the likely bottlenecks inside/outside the venue - The roads around Meltham are narrow so we need to get them parked up fast
If there are to be any "special areas" where are they?

I'm sure all marshals are happy to help, but we do need a plan to make sure all runs as smoothly as possible. We can't allow silly oversights to mess Connor's day up.

Confirmed I would say 900-1000
Cutoff I would say by 3pm everyone should be there
There is 2 car parks close to each other plus another one maybe and surrounding roads, all will be discussed on the morning.at 10-10.30 am.

Marshals/Organisers

We need a ruling on this pretty sharpish - as soon as the situation with carcruise Sthelens was pointed out i messaged the page owner - this is the conversation so far

Samuel Ellis
Good evening

It has been brought to the attention of scoobynet that you are organising a run down to Huddersfield for Connors meet. As one of the marshals for the day we have heard that people are saying it is not invite only and is a free for all.

Can you advise any of your friends who are planning to attend that they need to register on scoobynet and post that they are coming - if not they will be turned away
-----
CarCruise St Helens
Err, mate tbh we don't know wa cars will be comming , as we get new members going and turning out to events everyday. I am willing to be a marshal m8 .
----
Samuel Ellis
cheers for getting back to me - is anything relating to this meet being organised on your page though?
-----
CarCruise St Helens
Yes m8 we have a event page set up and other clubs we r branched to advertising it on there walls with a convoy start time for people to turn up to then all convoys r merging
-----
Samuel Ellis
ok the problem is that the event is approaching its max numbers by just people on scoobynet - other car clubs that have registered with scoobynet that they are attending so can you please spread the word that they need to register on scoobynet for numbers because if your name is not on the list that is on scoobynet the marshals will be turning people away
-----
CarCruise St Helens
Ahh, gunna be a slight problem m8 , as we have members tha don't have acces to internet and we text them details . Also we're expecting easy 150-200 to come in convoys from this end buddi , I am putting my self forward buddi for marshals if you need any. Also we have a shed load ov diff cars from evos-skylines-lambos- and much much more
-----
Samuel Ellis
Ok this is a big big problem for organising it, this is why the WYC event was pulled.

We do need marshalls but we also need a good solid list of people who are coming because it is not a cruse it is a meet (well more a car show now really)

Now how should this be handled? Im thinking tell them to register on here and add to the list but any other ideas? I saw that in the org thread we could just take total numbers of people attending - could i just say to them that you can bring a max number of X and no more?

Buster +/- 100 vehicles is a lot to account for.
3pm which day?
We need to know exactly what parking is available well before hand.
Discussing it on the morning is too late - it needs to be nailed down ASAP.
People are attending with the best intentions, but they need to guided into place or it will go off course & nobody wants that to happen.

Think it would be better to say bring a max number otherwise it would mean you will get more and more people registering and may get out off control

Sorry read your post wrong, it needs stopping very soon. I'd say stop it at 1000 total, and that way we have a bit of give n take. Total it up in the organising thread.
Jamo or gc8 will bell me tmr or anyone else marshalling to pm for my number.
I'll discuss over the phone with google in front of you and explain what we have and we're in detail so someone can copy map on here and make sense as I'm rubbish at that.

yea that is the worry

as per the other thread after advice from busta i have told them they need to cancel the event page ASAP as we simply cannot take 150 - 200 extra cars at this time and if they attend they will just be turned back round.

I have advised that they could bring 5-10 cars IF they register individually on the scoobynet page

No probs.
I've done this kind of thing for a living for years, so get a bit jumpy when the numbers don't work out.

I'll be there on the day and will help out before if you need me.

Sam, the idiots need telling to keep away. People with Ferraris, Porsches, smart Imprezas & Lancers or RS Fords dont want bell-ends with 18" wheeled Saxos wheelspinning whilst their baseball cap wearing brethren press their front wheels down and encourage them on.

I've seen conflicting posts in the main thread, can we outline what the policy is on letting people in?

If it's invite-only and we're going to ask people to provide their RSVP number when they come in, how are we going to ensure that;

a). Comms between marshals to confirm whos been ticked off or not so that people don't turn up quoting someone elses number?
b). How we can turn away people who haven't registered without starting drama?
c). Those people on the list know to have their RSVP number ready?

Also, Kevin / Scott, what is your plan? Are you just going to merge into the traffic coming in at 1PM so that Connor doesn't suspect anything?

Also, something at the back of my mind, what if people turn up with signs / vinyl that will give the game away?

Questions, questions, I know, I'm a sysadmin, I'm born paranoid

Hey nowt wrong with being paranoid, i work in a datacentre so im alwasy on edge

to answer some of your questions

a.Dont know tbh, i think we will be using radios OR just have two lanes and the marshals next to each other so they can check the lists as people come in

b. This is a tough one especially as we have to keep an eye out for press and turn them away as well. The only thing i can think of is just to simply say that as you did not put your name down on the official list on scoobynet then just dont have space, due to the sheer amount of cars i dont think we have time for extended conversations.

c. If they dont know the number then we can quickly cross check them against the list we have.

This also gives us chance to remind ever driver that nothing is said to Connor about just how ill he really is

Reading this thread I agree it can dangerously get out if hand on the day

Think it need a closing date eg Thursday 9pm with a strong message on the forum
If your not on the list you DONTget in just to try to get the message over its vital you out your name on the list for insurance purposes
At the NBO we have got it to within 10cars over or under against the list on the day itself
The list is great on scoobynet and the registered club list looks well organised but its the extra Facebook and lack of lists that could cause the problem

I would strongly recomend a cut of date tomorrow night
Anyone not on the list will NOT get in

Well two got in at the same time so I've said both can be on the list so 561, I've asked for the thread to be locked until after the event now.
