Employer requesting vehicle details ?
Anyone shed any light on this for me ?
My employer today requested all staff to provide them with vehicle details such as reg number, make, model, engine size and colour. As I've currently got 3 cars they've said I have to give them the details of all 3 and as I don't keep my cars very long I have to provide them with the details of when I sell each one and then I have to give them the details of any new car I own that will be parked at work !
I've asked them why they need this information and they said it's just for the new Sage system. I work in a factory and don't use a car during the day, neither does anyone else they've asked.
Why would they need this information ?

To find out who's been parking in the Director's place, lol.
There was a secretary at one of the places I worked for a while who's husband was a car trader. She came in one day with a nice Rolls Royce, 2nd day with it she was politely asked by her boss to come to work in another car !!!!

If its nothing to do with parking or using your own car for work purposes, I would just makes some up and see if anyone checks. If they do then I would ask for some more details as I really cant see any other reason.

It just seems abit strange to me, especially as they said it's just for the new sage system.

That is not an answer - that is circular reasoning - they need to know because they need to know - I would probe deeper.

Isn't there a scheme/ tax where a company must pay for the available parking space for their employees ? which also restricts the amount of spaces that a company can hold open dependant of number of employees to each company ?

Personal Car Records: In addition to the facility to record the details of company cars allocated to your employees, Sage Payroll allows you to record the details of up to two personal cars within the Employee Record. Ideal if you operate an allocated parking bay policy, and need to quickly contact the owner of an illegally parked car. The Personal Car Records feature removes the need to keep manual records of your employees' car details.

It's so they can search the right car to see what's been nicked!
I used to work in Plymouth Dockyard as a boy. "Borrowing" from her Majesty was rife, and something of a sport. You wouldn't believe the things that would go out the main gate!
The classic one was a guy who used to push a wheelbarrow full of straw out every night. Every night the Dockyard Police would search through the straw, convinced he was hiding something. He'd always say it was just straw for his Rabbits.
Of course, he was nicking wheelbarrows!

I would ask what controls are in place to protect this data once collected. I was in a meeting today with staff from the Information Commissioners Office, I was a bit surprised to learn that your VRM, make model and colour of vehicle is treated as personal data even without any link to a person at all.

In a polite manner, I'd state that the vehicles are co-owned with your wife / partner and they have this funny little thing called privacy, both in giving out the information and how / where it is stored and whom has access to it and why. They would like, in writing, exactly what the information is required for, why it is needed in relation to my vehicle, and what happens if I do not wish to provide this information.

Freedom of Information doesn't cover private companies, only relevant for public sector.
It does seem odd this, as someone says Sage is a common payroll system and if you were claiming business mileage then it's a legitimate request, albeit colour seems irrelevant. We keep colour details for site security, easy to identify a particular car as CCTV isn't always clear. It's seems like an over zealous admin person to me

May be to do with a WPL (Workplace Parking Licence)
Tested by Nottingham and due to be rolled out nationwide.

The only reason we had to give engine details was for mileage claims. Anything over 2l capacity qualified you for the higher rate. I've got a really rare scooby 2.1l don't you know.
Only other thing was the reg, model, and colour for car park details - making sure only employees used the car park.

yeah that will work...
The ICO love to try and justify their own existence... when in reality the DVLA just flog your data off to all and sundry including Lithuanian gangsters....
