If you store your information on the Exchange Server, then AFAIK you can't. A domain admin could reset your network password and they are in.

If you put your messages in a PST file, you can password that. However, there's plenty of tools which can easily crack a PST file in seconds or minutes.

took me ages as well to find out. Right click on Outlook, select properties, click on data files, i have only one personal folder, if more than one highlight the one you need, click on settings tab, and the password box should come up. hope this helps

to make it a bit difficult to crack / force:

8 character
mixture of alpha & numeric
symbol (like ^)
Upper & lower case

No words (in any language), postcodes, namesetc

But I think the pst password hacking tools just remove the password rather than attempting to decrypt it so all that is pretty much wasted really

A password protected pst file should keep most people out though. If it's stored on a drive that uses NTFS then set the permissions on the folder that the file is stored in so that only you have access

Good luck

I think you are right Chris, I have tried all of the above comments and none seem to work, I do work off the main server.

Might by one of the IT guys a pint tonight after work

Thanks for all your useful comments

That concerns me somewhat, if I delete certain emails and then delete them from my deleted items folder will this remove them forever or will they still be stored on our remote server?

Depends if your Admins have Deleted Item Recovery enabled (again presumes you are using Exchange Server). If they do, the messages can be saved for a given number of days after you've deleted them or until the Exchange Server is backed-up.

Do you have an option on the Tools menu in Outlook for "Recover Deleted Items"?

no recover deleted items option on the tools menu, we have to back the estate agency software that we use everyday, I don't think this is linked to the rest of our pc's, I have never seen us manually back up the PC's.

Any idea what a regular period is for a exchange server to be backed up?
