Unhappy Events Secretary Position - Time for some new blood

I was going to post this a while ago and put it off, then Al convinced me otherwise, but I feel my original decision was the right one. If people would like to nominate themselves for the due process then feel free, but I shall be standing down from formal organisation of club events.

Bi-annual Blyton event?


Surely (now you have more time on your hands ) this should be QUARTERLY




Oh, and can I nominate Mick as your successor?

Sterling job on the NBO and Thoresby, if he proves himself with Rising Sun and BBO he's the man for me

Thanks again....you were back from the pub quick

Mick was always the natural choice in the discussions I've had with Al. If he wants the role I'm more than happy to 2nd it, and assist wherever necessary and welcome in the future.

I can't keep up with the posts!!

I've posted my thoughts on the Prodrive thread... But I did want Dave to delay it and not to step down completely. I was partially succesful which is a success in my book.

Mick is definately the natural successor, but as Sticky stated and I agreed with, such a position needs support as it's a thankless task sometimes....

Dave's done this for since the club started 3 ish years ago... and the fact that were now having more doos in a week than we did in a month (or two) then his shift patterns wrre starting to play havoc and a hole was created... Mick filled it well (No Sticky!!!) but Mick will need help and physical & moral support when it doesn't quite go accordong to plan.

Dave.. thanks mate I'd also like to thank Helen who was just as involved and had to put up with Dave's time on the phone, PC and Skype...

I'm more than willing to occupy a support role for Mick, just don't feel it's right for me to continue the full role.

I am honoured and truly flattered by your nominations, but as I have stated in a previous thread

When the regular ‘committee’ are attending, everybody seems to put a little bit in to help the day go well. But when their not, it’s a difficult, time consuming, exhausting role.

This Sundays excursion to Thoresby has somewhat put me off the full time position.
Today I started work at 07:30am and finished at 18:45 I then had to take the BBQ items (collected from Simon at the monthly meet) out of the car put them in the house, then make my way Al’s for the Gayzeebo table flag etc, finally getting in about 8pm. I now have a room full of stand equipment that I don’t stand an earthly chance of fitting in the car, with me Jackie and the two girls.
Hopefully Sticky can get into the unit Saturday so I can go round and offload a little of it to him.

In addition to this I have spent a lot of time at work, phoning the events organiser at Thorseby to get a stand place, then again requesting more space, each time passing my details on to them, as the WYIOC events organiser.
Due to me solely taking on this position for this event, I am responsible to adhere to their request, for timings and set up so the stand actually gets its place, and the later arrivals have a WYIOC stand to park on.

Therefore I have to personally be there for 08:00 to secure our stand position; this means a 07:15am departure on Sunday,

I know other members are joining me for this and for that I more than grateful,

If it only affected me then I would have no problems with this in itself, but it also involves Jackie and the two girls, getting them up at 06:00 and dragging them down early for the setup, far from an ideal day out I am sure will agree.

Rather than accept or DECLINE this position I would prefer it, if at one of the events/meets we could discuss the role and the future of it.

I would at this time prefer any member who wanted to attend an event to
1. Gauge interest in it,
2. If it’s worth a full on assault, take the reigns and organise away.

At that point, if the event needed a WYIOC committee member to officially book a place/space, one of us would eagerly take it on. And it goes without saying assist with input or experience at any stage along the way.

Excellent post Mick.

That gets across the work involved in setting up a standard meet and is something several people have been doing for the past few years. Your help and support has been invaluable over the past few doo's and you get across well how much easier an extra pair of hands helps...

It supports my other posts stating that with the amount of doo's the club is now gearing up and wanting to do, we have to understand that the work level increases to make sure the day goes as smooth as possible... The NBO was hard work in terms of the camp site arrangements, caravan, food and continual correspondance with the organisers... etc etc etc.... after putting it down and getting home I had to get the gayzeebo out the bag and ensure it was hung up to dry.. clean the table and put the chairs, table, drinks, remaining food and all the other stuff left over away... collecting subs and ensuring no one is out of pocket..... it takes a lot of unseen background effort.... look at me now at 1:40.... Bloody enjoyable, but hard work I agree..

I think it's great that the subject has been raised and hope that the discussion will raise awareness that the event sec and supporting positions are just a few guy trying to make an event enjoyable...

As a simple case in point, the work Sticky has put in to arrange and setup the Treasure Hunt is immense and when you have a family and work life to throw into the mix, then doing all voluntary and unpaid work only to have it criticised or commented upon doesn't help.....

I fully understand your reluctance to simply step in to Dave's shoes completely and your wish to invite others along to make up the numbers....

Elvington and the NBO was great in that Martin and JB volunteered to do the catering... JB's work load at the campsite was commented upon... Mark, Dan and others provided props and materials to make the flags etc.. others get involved in setting up the Gayzeebo...

This makes a big event such as the NBO a joint afair and we need to keep it that way otherwise we'll have people turning up to enjoy an event only to find no one has been willing to arrange anything..

I welcome the discussion and we'll definately raise it formally at the next meet... or we simply ask for people to step up and work as a group... nowt wrong in getting involved...

Dave, I would like the runs out that we do more than the track events, not a track man me, so if you could still pop one in now and then that would be cool..just like to say that the organizing has been superb for events and

Hi Guys,

Just thought I would add food for thought, at the SMACS we opperate a policy of if you suggest it you organise it. I works quite well and everyone gets the flack when it goes wrong.

I sympithise with Dave, I have had events where things have gone wrong and like Mick said its a thankless task!

Hope you sort things out for a Top club

Thanks for the input Andy. To a certain extent that's more or less what happens anyway, certainly for runs and impromptu meets, and it usually works very well.
As for the bigger events, it's more or less taken for granted that we'll be at the NBO, TOTB, Shootout, trackdays, etc. and because of the scale of the stands and the logistics of getting gear and cars to the right place and at the right time it needs proper organisation, and that means having a main co-ordinator to cross the t's and dot the i's, but they also need the backup and support of others in order for things to run smoothly.

My suggestion would be for a different individual to be responsible for each event, so Dave would do the trackdays, Mick he NBO, I'll have a pop at the BBO, someone else sort out TOTB, etc.

IMHO that would work a treat, and would mean that no one person is burdened with a stack of work through the year.
