OK, I have finally had an email back from Pete (one of the rangers at Elan Valley) and we have a green light. However, this is what it said...
I must also add, Pete has forwarded a copy of my original email and his response to the local 'boys in blue' so everyone on their best behaviour please!!! 
Anyone caught acting up will be named, shamed and the reg numbers of 'said' cars passed on to Rangers to take whatever action they see fit...

I can confirm that it is OK for your group to use our Claerwen car park for your meeting on Sunday 9th August 2009. But I would like your vehicles to keep to the area you usually occupy leaving the remainder of the carpark for other users. As to barbecues - please use as few as possible to minimise pollution, smell etc (hopefully there will not be 50 on the go!) not to put them on the surface of the picnic tables as they burn them, and remove all materials including burnt charcoal etc afterwards. Also do not allow the smoke emanating to annoy other visitors. If you could also inform those attending that when driving about the Valley please drive slowly as there are likely to be many other vehicles on the narrow roads that day plus the usual sheep, cyclists and walkers etc.

As this is a 'free' event, I would also like to ask all attendees to 'donate' some money towards the local air ambulance... I am thinking £5 each car??? 
End of the day, if you guys have a crash in Mid Wales and need urgent hospital treatment, these are the guys that come to your rescue!!! Each flight costs over £1000 but will more than likely save you life!!!
I will have a donation bucket on the day, so please give something back to the area you are visiting... THANK YOU!!!

Looking forward to this also - should be an amazing sight/sound to see so many Scoobs in one place !! Being a "meet" virgin, I was wondering if they were family affairs i.e. wife and kids ? what sort of start time and return home to S.Wales ? do we travel in convoy, comfort/fuel stops etc - any info would be great ???

it is a family day out ,pack a picnic ,bbq ,wine for the women ,leave about 10ish home about 6ish .sat there last year with a wind break and umbrella a few walked up to the dam for photos and things , an isolated area so good for the kids to have a run around safely .good day out to be honest

gwent lot travel up from their end, valley ,cardiff ,bridgend normally meet in cyfartha castle merthyr and dragoon takes us over some of the best roads ever .a spirited drive but nothing crazey cause of the kids.we meet the north wales and mid wales at the dams.

Fingers crossed the weather will be kind to us - what a sight 50 Scoobs (and sound !) would be, awesome !! I had a big lump in my throat watching the Colin McRae tribute run on fifth gear - where they wrote his name in Scoobs...wow !
